In the project console you can adjust the
remaining hours for each individual task
based on the remaining hours entered by
the resources when timesheets are
submitted. You have the option of
accepting the remaining hours submitted by
the resources, or you can override the
remaining hours with your own estimation.
The remaining hours set in the project
console becomes the basis for the
Project
Overview report which is the report
that tells you if your project is ahead
behind schedule and by how much.
The project manager (if you have the
Approval
Management module) or whoever you
assign to be in charge of the project if
you do not had that module, should go to
this page on a daily basis and update the
remaining hours so that the
Project
Overview report always is up-to-date.
In the 3f Software Planner a task is
consider finished when the remaining hours
= 0. This is where you sit tasks to
finished by simply adjusting the remaining
hours for the task that is finished to =
0.
Why are the remaining hours not set
automatically when timesheets are
submitted?
The reason is that it will not be accurate
enough. When a resource submits his
or her timesheet the remaining hours
entered can only be the resources best
guess or estimation. The individual
resources working on a project may not
always have the information needed to
properly estimate the remaining hours on a
task for themselves, and even less so if
multiple resources are working on the same
task. Therefore by forcing the project
manager or the person is in charge of the
project to review the remaining hours for
all the tasks on a daily basis will not
only increase the accuracy of the
Project
Overview report, but would also alert
him or her to problems earlier if the
remaining hours suddenly and unexpectedly
begins to increase.
As mentioned above, the way a task is set
to finished is by adjusting the remaining
hours for the task to 0. In the 3f
Software Planner deciding when a task is
finished is the job of the project
manager.
The image below shows the project console,
and as you can see the column "Rem. Hrs"
has entry fields. To adjust the
remaining hours by task all you have to do
is to changes the hours in this field
across from the task you want to adjust.
If you want to accept the sum of all the
remaining hours entered by the resources
working on the task you can click the
button Set Task to the right of that
field. Finally, if you want to see the
remaining hours entered by the resources,
you must click the link to the immediate
right of the Set Task button. Doing
so opens up a new form with a breakdown.
In addition, you can also cancel tasks,
change activity and view the task detail.
